The Opportunity
  • Adecco is partnering with our client, a leading global technology multinational organization.
  • We are seeking a proactive and highly organized Administrative Assistant cum Executive Assistant to support the Asia Chief of Staff (based in Singapore).
  • This role requires a resourceful and detail-oriented individual who thrives in a fast-paced, global environment, with strong experience in executive-level calendar management, travel coordination, and administrative operations across multiple time zones.
  • Candidates who are able to start work immediately or within short notice preferred.

The Talent
  • Minimum 2+ years of experience as an Administrative Assistant within a global MNC environment
  • Comfortable handling Executive Assistant duties as the core responsibility (70% EA / 30% Admin)
  • Strong calendar management across multiple time zones
  • Experience managing business travel arrangements (flights, visas, accommodation)
  • Familiar with expense reporting, procurement processes, and invoice tracking
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Windows environment)
  • Excellent organizational skills with the ability to reprioritize effectively
  • Strong communication and interpersonal skills across regional and global stakeholders
  • Ability to work independently in a fast-paced and dynamic environment
  • High attention to detail with strong compliance awareness

The Job

Executive & Administrative Support
  • Proactively manage the Asia Chief of Staff's calendar, anticipating conflicts and shifting priorities
  • Coordinate internal and external meetings across multiple time zones
  • Ensure smooth day-to-day administrative operations
  • Demonstrate strong ownership, judgment, and autonomy in task execution
Calendar, Travel & Expense Management
  • Manage complex scheduling and meeting coordination
  • Arrange travel in compliance with corporate travel policies
  • Handle visa applications, flight bookings, accommodation, and logistics
  • Prepare and submit expense reports accurately and on time
  • Support procurement requests and invoice tracking
  • Ensure 100% adherence to travel, procurement, and data handling policies
Stakeholder & Operational Coordination
  • Liaise with internal and external stakeholders to ensure seamless execution of meetings and initiatives
  • Support documentation and administrative processes
  • Maintain high standards of compliance with zero policy breaches
  • Anticipate stakeholder needs and proactively address issues
