Administrative Assistant

The Administrative Assistant is responsible for overseeing day-to-day administrative operationsand will function as an integral part of the C.H. Robinson team. This role involves enhancing office effectiveness by providing administrative support, organizing communications, managing travel and expenses, planning events, and office maintenance.
The Administrative Assistant will oftentimes be the first interaction with visitors, both customers and internal guest to C.H. Robinson; so friendly, helpful, and clear communication skills are critical. The Administrative Assistant will also be the go-to for general administrative tasks, ordering supplies, coordinating with building maintenance, and special projects involving process and procedure creation.
The duties and responsibilities of this position consists of, but are not limited to, the following:
- Maintain continuity among business units by documenting and communicating updated processes or procedures
- Act as the primary liaison to the building manager and coordinate office repairs and maintenance
- Prepare and set up conference room and training room for meetings/trainings; coordinate catering as needed
- Maintain common work areas with appropriate supplies and ensure cleanliness
- Order lobby, office, kitchen, and all other supplies (both promotional and for office use)
- Create and maintain office roster with appropriate location information including data/telephone and map of location to facilitate people movement in the workforce
- Maintain and manage general phone process for the facility
- Removal and disposal of outdated and broken equipment as per CHR protocol
- Prepare and process outgoing packages and general mail and distribution of general mail
- Organize and maintain storage room, computer/telephone equipment, and other office materials
- Allocate and process operating expense invoices to accounts payable group
- Responsible for planning/coordinating special events (internal and external) for various business groups, including working with hotels/restaurants for group discounts, reservations, and logistics
- Other duties or responsibilities as assigned according to the team and/or country specific requirements
