Office Personal Assistant - Bedok

We are looking for a reliable, detail-oriented, and proactive Office Personal Assistant (PA) to join our team full-time. This role combines general administrative duties with basic finance responsibilities, including invoicing, expense tracking, and liaising with accountants.

The ideal candidate must have at least 1 year of experience in a similar role and a solid understanding of finance processes.

Key Responsibilities:

  • Provide daily administrative support to management and the office team
  • Manage calendars, schedule meetings, and coordinate travel and appointments
  • Handle internal and external correspondence professionally
  • Prepare documents, presentations, and reports as needed
  • Process invoices, track expenses, and assist with basic bookkeeping tasks
  • Support budget preparation and financial reporting
  • Maintain accurate filing systems and documentation (digital and physical)
  • Communicate with external vendors, suppliers, and accountants
  • Handle ad hoc admin and personal tasks as requested

Requirements:

  • Minimum 1 year of experience in an administrative or PA role
  • Strong understanding of finance and basic bookkeeping tasks
  • Proficiency in Microsoft Office (especially Excel); knowledge of accounting software like Xero or QuickBooks is a plus
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and act with discretion
  • Proactive, self-motivated, and able to multitask in a fast-paced environment
