Overview
We are seeking a proactive and organized Project Coordinator to support the planning, coordination, tracking, and administrative activities for the IT Projects. This role is suitable for fresh graduates who are interested in project management, IT operations, system implementation, and coordination work within a large-scale and mission-critical environment.
The Project Coordinator will work closely with Project Managers, Technical Leads, Engineers, Vendors, and Stakeholders to ensure project activities, schedules, documentation, and communications are properly managed and tracked.
Key Responsibilities
Project Coordination & Administration
Coordinate daily project activities and support project execution.
Track project progress, action items, milestones, and deliverables.
Support project scheduling, meeting coordination, and resource planning.
Prepare and maintain project documentation, reports, and trackers.
Assist in monitoring project timelines and highlighting potential delays or risks.
Coordinate with internal teams, external vendors, and stakeholders on project matters.
Follow up on outstanding tasks, approvals, and action items.
Meeting & Communication Support
Arrange project meetings, workshops, and discussions.
Prepare meeting agenda, presentation materials, and minutes of meeting (MOM).
Track meeting action items and ensure timely follow-up.
Facilitate communication between project teams and stakeholders.
Support project status reporting and management updates.
Documentation & Reporting
Maintain project documentation repository and version control.
Support preparation of:
Weekly/monthly project reports
Project schedules and trackers
Risk and issue logs
Change request records
Deployment schedules
Governance presentation slides
Ensure project documents are updated and properly organized.
Project Governance & Compliance
Support compliance with project governance processes and procedures.
Assist in tracking approvals, sign-offs, and submission deadlines.
Ensure proper documentation for audits, reviews, and project milestones.
Support coordination for project reviews, testing activities, and deployment preparation.
Coordination with Technical Teams
Work closely with:
Software Engineers
System Engineers
Infrastructure Teams
IT Security Teams
Vendors and external parties
Assist in coordinating testing schedules, deployment activities, and operational support tasks.
Support incident tracking and escalation coordination when required.
Qualifications
Educational Qualification
Diploma or Bachelor’s Degree in:
Information Technology
Computer Science
Business Information Systems
Project Management
Engineering
Or related disciplines
Fresh graduates are encouraged to apply.
