Job Summary

The Project Coordinator / Admin plays a key role in ensuring smooth execution of interior design and construction projects. Acting as a bridge between design teams, contractors and project leadership, the role ensures that project tasks, documentation and communication are accurately managed.

The Project Coordinator / Admin supports project managers and directors, maintains project records, ensures compliance with company and regulatory standards, and helps facilitate the timely completion of project deliverables. Strong organizational skills, technical awareness and the ability to coordinate multiple stakeholders are essential.

Key Responsibilities
  • Support project managers and directors in monitoring project progress, timelines and deliverables via the Project Execution Plan (PEP).
  • Participate in site activities and technical execution, ensuring specifications and reports are accurate and compliant.
  • Track revisions and ensure all stakeholders are working from the latest technical information.
  • Assist in preparing bids, proposals and technical submissions.
  • Prepare, format and maintain project documentation including reports, contracts, meeting minutes and correspondence.
  • Implement and maintain document control procedures, ensuring systematic storage, version control and workflow.
  • Compile project reports and progress updates for leadership and clients.
  • Track document revisions, approvals and distribution to relevant stakeholders.
  • Ensure all documentation and technical records comply with company, client and regulatory standards.
  • Support audits by providing accurate and organized project documentation.
  • Uphold data integrity and confidentiality policies across all project records.
  • Act as a liaison between internal teams, clients and contractors to ensure smooth communication.
  • Coordinate document and information flow, ensuring clarity and alignment across all parties.
  • Prepare project handover packages and ensure systematic archiving of records for future reference.
  • Respond promptly to requests for technical or administrative information and support day-to-day project operations.
