Our client is a leading MNC in the shipping industry based in town. The co allows a WFH arrangement 1 day per week. This role sits in the HR department and reports to 2 HR business partnering managers.
SENIOR EXECUTIVE, HR (PAYROLL & OPERATION)
Summary: We are looking for a detail-oriented individual who thrives in a dynamic environment and have a passion for streamlining processes. This Senior HR Executive will be responsible for managing the payroll for the group of companies under through the company-appointed payroll vendor.He/she will also support the HR team on day-to-day HR operations and HR administrative matters. The ideal candidate must have proven track record in payroll processing and administration.

Role and Responsibilities:
HR Operations (around 70% the time)- Support the HR team with employee life cycle management in pre-hire, on-boarding, off-boarding, and training records administration.
- Maintain accurate employee records on the HRIS Workday platform and e-file in a timely manner.
- Support the HR team in preparation for employment letters, visa travel letters, etc.
- Administer employee benefits programs (insurance claims and enrolment, long service award, etc.)
- Support the HR team in preparing reports, analysis and surveys preparation, e.gs. MOM, MPA, salary and benefits surveys.
- Support the HR team in administrative matters such as invoice processing, liaising with Finance on payment-related matters, work pass applications or renewal, renewal of season parking for eligible employees.
- Identify opportunities for HR operations transformation by leveraging technology for increased effectiveness and efficiency.
- Ensure data integrity and ensure compliance in all HR operations.
- Handle HR-related queries and perform any other ad-hoc duties as required.
- Own and manage the payroll process, including liaising with our payroll vendor to ensure the monthly payroll computations and ad-hoc payroll computations for new joiners and terminations are accurate and in compliance with Singapore and overseas labour laws and statutory requirements.
- Ensure the accuracy of payroll data by verifying data against supporting documents.
- Liaise and manage payroll vendors in overseas offices (e.g. Taiwan) to review and process payroll for overseas employees in compliance with local tax and labour laws. Check overseas payroll reports (e.gs. China).
- Handle monthly statutory submissions, including CPF, government paid leave, including NS leave, maternity leave, paternity leave, childcare leave, and other relevant obligations.
- Annual income tax preparation and declarations for employees in compliance with local tax regulations. This includes foreign employees’ tax clearance.
- Provide detailed monthly payroll reports to finance.
- Manage and oversee employee loan repayment, which could involve authorized deductions from employee salaries.
- Administer contracts and fees related to the company directors.
Requirements:
- Bachelor’s degree in Human Resource, Business Administration or similar specialization.
- Minimum 2 years of hands-on HR operations and is keen to pick up payroll processing that is part of this role. Added HR payroll processing/ managing payroll vendors is beneficial (but not a must)
- Strong understanding of payroll regulations and compliance for Singapore (mainly). Exposure to payroll matters for potential overseas locations is useful but not a must.
- Experience with payroll vendor migration and integration of HRIS to payroll system will be an advantage.
- Proactive, resourceful, highly organized, detail-oriented with excellent multitasking skills.
- Demonstrate high integrity standards in handling confidential and salary-related information.
- Excellent communication and interpersonal skills to collaborate across departments and with external vendors.
- Tech-savvy and proficient in Microsoft Office Suite (especially MS Excel) and various technology tools for efficient work.
- System savvy. Prior experience with global HRIS systems, such as Workday or similar platforms, showcasing the ability to navigate and utilize these systems effectively is required.
- Able to thrive in a fast-paced and dynamic environment, adapting to changes and challenges while maintaining efficiency and quality in work.
- Strong on multi-tasking
