About the role
An exciting opportunity has arisen for a Sales Admin Assistant to join the dynamic team at Taknet Systems Pte. Ltd. in the Serangoon North-East Region. This full-time role will provide crucial administrative support to the sales team, ensuring the smooth running of day-to-day operations.
What you'll be doing- Prepare invoices, delivery orders, and all related documentation for customer deliveries
- Ensure accuracy and completeness of sales orders and billing documents
- Maintain and update proper documentation and records for reference and audit purposes
- Coordinate closely with internal teams (sales, warehouse, and logistics) to ensure smooth operations
- Handle customer enquiries regarding products, orders, and delivery status professionally and promptly
- Arrange and coordinate delivery schedules with customers to ensure timely fulfilment
- Handle incoming phone calls and attend to visitors in a professional manner.
- Prepare Purchase Orders (PO) and process Goods Received (GR) for incoming stock
- Support stock control and warehouse management activities
- Assist with regular inventory counts and checks to ensure inventory records are accurate.
- Coordinate courier and delivery arrangements for documents and equipment with the sales and engineering teams.
- Track delivery status and keep relevant internal teams informed.
- Prepare, consolidate, and update daily, weekly, and other administrative or operational reports as required.
- Perform general filing and administrative duties
- Assist with ad-hoc tasks as assigned by the Manager.
- Proven experience as an administrative assistant or in a similar role, preferably within a sales environment
- Excellent organisational and time management skills, with the ability to prioritise tasks and work to deadlines
- Strong communication and interpersonal skills, with the ability to liaise effectively with both internal and external stakeholders
- Proficient in the use of Microsoft Office suite, including Excel, Word, and PowerPoint
- A keen eye for detail and a proactive, problem-solving mindset
- The ability to work well in a team and contribute to a positive, collaborative work environment
