Position Overview

We are looking for an organized and detail-oriented Administrative Assistant to join our team. Your primary responsibilities will be managing all client mail and providing essential administrative support. You will also support with coverage for banking matters, including but not limited to: liaising with banks, corporate services team, and clients, as well as document handling.

Key Responsibilities

Client Mail & Communications (Primary Focus)
  • Sort, distribute, and track all incoming and outgoing physical mail
  • Maintain organized records of correspondence
  • Monitor and manage the client marketing mail platform (mailchimp)
  • Assist with basic marketing tasks like preparing brochures for mailings and updating contact lists
General Administrative Support
  • Order business cards and office supplies as needed
  • Handle filing, photocopying, and other routine office tasks
  • Help with meeting room setup when required
  • Support with coverage for banking matters, including but not limited to: liaising with banks, corporate services team, and clients, as well as document handling
  • Perform other ad-hoc administrative duties as needed to support the team

Qualifications

Essential:

  • Diploma or equivalent
  • Reliable and punctual
  • Strong organizational skills and attention to detail
  • Professional written and verbal communication
  • Proficiency with basic computer applications (Microsoft Office / Google Workspace)
  • Positive attitude and ability to multitask
