Executive Secretary to the CEO - Toa Payoh

DUTIES & RESPONSIBILITIES
  • Provide administrative and secretarial support to the CEO, ensuring smooth coordination across multiple entities
  • Manage and coordinate the CEO’s schedule, appointments and meetings
  • Prepare and consolidate reports, presentations and minutes for meetings across entities
  • Serve as the primary point of contact between the CEO and internal/external stakeholders
  • Arrange travel, accommodations and itineraries
  • Coordinate and monitor group-wide initiatives, key projects and strategic priorities
  • Support in tracking deadlines and coordinating with various stakeholders to ensure timely follow up and alignment with CEO’s priorities
  • Prepare reports, confidential documents and presentations for high-level engagements
  • Maintain and organise confidential documents and records
  • Track and maintain routine and periodic reports from various departments and across entities
  • Support the planning and execution of executive-level events
  • Handle special projects as assigned by the CEO
  • Handle sensitive information with high level of discretion including legal, financial, and corporate development documents, with high degree of integrity
JOB REQUIREMENTS
  • Diploma or Degree in Business Administration or a related field
  • 5 years of experience in secretarial support to senior management or C-suite executives
  • Prior experience in a multi-entity corporate environment is preferred
  • Strong organisational and time management skills
  • Excellent verbal and written communication abilities
  • Prove experience handling sensitive information at high level of discretion
  • Meticulous with strong attention to detail and commitment to quality
