About the Role
We are looking for a proactive and detail-oriented Executive Assistant (Admin & Procurement Support) to provide day-to-day support to the Director while managing administrative and procurement functions.
This is a hands-on, entry to junior-level role, ideal for candidates who are keen to gain exposure supporting senior management while building operational and coordination skills.
Key Responsibilities
Executive & Administrative Support- Provide day-to-day administrative and coordination support to the Director
- Manage scheduling, meeting coordination, and follow-ups
- Prepare simple documents, reports, and correspondences as required
- Maintain proper filing systems and documentation
- Support general office administration and ensure smooth daily operations
- Assist in sourcing suppliers and obtaining quotations
- Compare pricing, specifications, and terms for purchasing decisions
- Prepare purchase orders and liaise with vendors on delivery timelines
- Track orders and ensure timely delivery of goods/services
- Maintain procurement records and vendor database
- Minimum GCE ‘O’ Levels, NITEC, or Diploma in Business Administration or related field
- Strong attention to detail, especially in handling quotations, pricing, and records
- Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable with digital tools
- Strong organizational and time management skills
- Good written and verbal communication skills
- Able to learn quickly and adapt in a fast-paced environment
- Able to work on weekends
