About the Role

We are looking for a proactive and detail-oriented Executive Assistant (Admin & Procurement Support) to provide day-to-day support to the Director while managing administrative and procurement functions.

This is a hands-on, entry to junior-level role, ideal for candidates who are keen to gain exposure supporting senior management while building operational and coordination skills.

Key Responsibilities

Executive & Administrative Support
  • Provide day-to-day administrative and coordination support to the Director
  • Manage scheduling, meeting coordination, and follow-ups
  • Prepare simple documents, reports, and correspondences as required
  • Maintain proper filing systems and documentation
  • Support general office administration and ensure smooth daily operations
Procurement & Coordination
  • Assist in sourcing suppliers and obtaining quotations
  • Compare pricing, specifications, and terms for purchasing decisions
  • Prepare purchase orders and liaise with vendors on delivery timelines
  • Track orders and ensure timely delivery of goods/services
  • Maintain procurement records and vendor database
Requirements
  • Minimum GCE ‘O’ Levels, NITEC, or Diploma in Business Administration or related field
  • Strong attention to detail, especially in handling quotations, pricing, and records
  • Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable with digital tools
  • Strong organizational and time management skills
  • Good written and verbal communication skills
  • Able to learn quickly and adapt in a fast-paced environment
  • Able to work on weekends
