Job Title: Administrative Assistant

Job Duration: 3 months contract with a possibility to extend

We are looking for a detail-oriented Administrative Assistant to provide efficient frontline service at the student services counter and hotline. You will manage inquiries, process student documents, and support various administrative tasks for the Office of Academic Administration and Services (OAAS).

Key Responsibilities:

  • Provide friendly service at the student services counter and hotline.
  • Manage inquiries via the ServiceNow system.
  • Process student pass cancellations and part-time work approval forms.
  • Prepare and mail official academic documents and reports.
  • Assist with student financial aid applications and insurance matters.
  • Maintain accurate electronic records and perform data entry.
  • Support staff welfare initiatives and events.
  • Undertake additional administrative tasks as assigned.

Qualifications/Requirements:

  • Polytechnic diploma or undergraduate degree in any discipline.
  • Organized, service-oriented, and positive attitude.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and in a team.
  • Prior customer service or administrative experience is a plus.
  • Familiarity with university processes is advantageous.

Working Hours:

  • Monday – Friday (except Thursday): 8:30 am to 5:45 pm
  • Thursday: 8:30 am to 6:30 pm
