Job Overview:

We are seeking a detail-oriented and proactive Procurement Assistant to support the procurement function within our food & beverage (F&B) manufacturing operations. The role involves assisting in sourcing, purchasing, supplier coordination, and administrative tasks to ensure timely, cost-effective, and compliant procurement of raw materials, packaging, and indirect goods.

The ideal candidate is organized, responsive, and able to work closely with internal stakeholders and suppliers to support smooth production operations.

Key Responsibilities:

Procurement Operations & Support
  • Assist in day-to-day purchasing of raw materials, ingredients, packaging, and indirect items based on approved requisitions and production plans.
  • Prepare and issue purchase orders (POs) accurately and in a timely manner.
  • Follow up with suppliers on order confirmations, delivery schedules, and outstanding orders.
  • Track order status and ensure timely delivery to meet production requirements.
Supplier Coordination & Documentation
  • Maintain supplier records, pricing lists, contracts, and certifications.
  • Liaise with suppliers on pricing updates, delivery issues, and basic negotiations under guidance of the Procurement Manager.
  • Assist in collecting supplier documents for food safety, compliance, and audits (e.g. HACCP, ISO, regulatory requirements).
Inventory & Cost Control Support
  • Monitor inventory levels and flag potential shortages or excess stock.
  • Assist in stock reconciliation and inventory reporting.
  • Support cost tracking, price comparisons, and basic cost analysis.
Cross-Functional Collaboration
  • Work closely with production, warehouse, quality assurance, and logistics teams to ensure procurement aligns with operational needs.
  • Coordinate with QA on material approvals, specifications, and quality issues when required.
Administrative & Reporting Duties
  • Update procurement data in ERP or procurement systems accurately.
  • Prepare basic procurement reports (PO status, supplier performance, price tracking).
  • Support procurement audits and internal reviews.
  • Ensure proper filing and documentation of procurement records.
Requirements
  • Diploma or Certificate in Supply Chain Management, Business Administration, Logistics, or related field.
  • 1–2 years of experience in procurement, purchasing, or supply chain support (F&B manufacturing or FMCG preferred).
  • Basic understanding of procurement processes, inventory control, and supplier coordination.
  • Familiarity with ERP systems and Microsoft Excel.
  • Good organizational skills with strong attention to detail.
  • Ability to communicate effectively with suppliers and internal stakeholders.
  • Willingness to learn food safety, quality, and compliance requirements.
  • Able to work in a fast-paced manufacturing environment and manage multiple tasks.
