CEO Executive Assistant - Geylang

Job Purpose:
To provide high-level executive, administrative, and operational support to the CEO, facilitating effective decision-making, efficient time management, and smooth day-to-day operations at the executive level.
Key Responsibilities:
- Executive Administrative Support
- Manage and optimize the CEO’s calendar, meetings, and appointments.
- Coordinate daily schedules and long-term planning to align with business priorities.
- Handle all correspondence (emails, calls, memos) on behalf of the CEO, filtering and prioritizing as necessary.
- Meeting and Event Coordination
- Organize and attend meetings, prepare agendas, take minutes, and ensure follow-ups are tracked and completed.
- Coordinate board meetings, leadership offsites, and corporate events.
- Project and Task Management
- Support the CEO in tracking and driving progress on strategic initiatives.
- Conduct research, compile reports, and prepare briefing documents.
- Stakeholder Liaison
- Serve as a key point of contact between the CEO and internal/external stakeholders.
- Facilitate communication with board members, senior management, clients, partners, and vendors.
- Represent the CEO in communications when needed.
- Being reception for potential customers and visitors at office.
- Travel and Logistics
- Plan and coordinate all business travel, including flights, accommodations, visa arrangements, and local transportation.
- Prepare comprehensive travel itineraries and briefings.
- Office and Operational Support
- Work closely with other departments (HR, Finance, Compliance) to support CEO-led initiatives.
- Maintain filing systems, contact databases, and important company records.
- Assist with budget tracking, expense reports, and procurement for the CEO’s office.
Skills and Qualifications:
- Bachelor’s degree in Business Administration or related field (preferred).
- Proven experience as an Executive Assistant or in a similar role supporting C-suite executives.
- Strong organizational and project management skills.
- Excellent verbal and written communication skills.
- Mandarin speaking and reading are mandatory
- Female only (as CEO is female)
- High level of discretion, integrity, and professionalism.
- Proficient in Microsoft Office Suite and business communication tools.
- Ability to work independently and make sound decisions.
