About the Role
We are seeking a detail-oriented and proactive Administrative Assistant / Executive to join our team at a healthcare site. This role is critical in ensuring smooth administrative operations and supporting both site and corporate teams.
Responsibilities- Prepare and submit daily staff attendance reports to the client, including updates on leave status.
- Collaborate closely with the client’s administrative team to execute assigned tasks efficiently.
- Raise Purchase Requisitions (PR) and Billing Advice in the CMMS system.
- Manage petty cash claims and ensure accurate record-keeping.
- Coordinate with Finance and the Site Manager on aging reports and claims.
- Work with site engineers, supervisors, and managers to monitor Purchase Order (P.O.) and Quotation (QB) status, updating the database accordingly.
- Provide administrative support for staff pass renewals and training reminders in collaboration with HR.
- Perform other ad-hoc duties as assigned by the Manager.
- Diploma or higher qualification in a relevant field.
- Minimum 2–3 years of administrative experience, preferably in facilities management or related industries.
- Strong organizational, problem-solving, and communication skills.
- Proficient in Microsoft Office (Excel and Word).
- Ability to work independently and manage multiple tasks effectively.
- Demonstrates a good safety mindset and adheres to Workplace Safety & Health (WSH) standards.
- Amenable to a 5.5 day work schedule - Mondays to Fridays: 8:30am to 5:30pm & Saturdays: 8:30am to 12:30PM
