Commercial Executive (Sales & Order Management)

Job Summary:
We are seeking a dynamic and organised candidate to join our team as a Commercial Support Executive. In this role, you will support regional sales activities, manage orders, assist with procurement, and collaborate with cross-functional teams to ensure smooth and timely service delivery to our customers.
Key Responsibilities:
A. Sales Coordination & Support- Coordinate and support sales activities across regional countries.
- Provide administrative and coordination support to Sales, Service (After-Sales), and Parts teams.
- Prepare and process documents such as Quotations, Sales Orders, Delivery Orders, Invoices/Billing, Service Reports, and Certificates.
- Ensure accuracy, proper recording, and timely submission of documents.
- Support internal transactions between BUs (e.g. Sales ↔ Service ↔ Parts).
- Upload invoices and documents to customer/vendor platforms as required.
- Process and manage sales orders from entry to completion in a timely and accurate manner.
- Ensure all orders are fulfilled according to customer requirements to facilitate smooth billing.
- Monitor sales order progress and proactively follow up on pending or delayed items.
- Identify issues, propose improvements, and ensure smooth order fulfilment.
- Manage the full order lifecycle from quotation to invoicing and completion.
- Perform daily data entry/import of invoices and delivery orders into the accounting system.
- Ensure proper linkage between billing/invoices and stock withdrawals.
- Monitor order progress and follow up on pending items.
- Ensure timely and accurate customer billing
- Collaborate with production, operations and logistics teams to meet delivery schedules.
- Liaise with finance to ensure billing accuracy and timely invoicing.
- Liaise with Operations, Logistics, Service, and Parts teams for smooth fulfilment.
- Coordinate with Finance on billing accuracy and reconciliation.
- Support inter-departmental workflows.
- Maintain accurate pricing and order records of all sales transactions, ensuring data integrity in Companies ERP.
- Generate reports and analyse sales data to provide insights to the management team.
- Support weekly reporting and other administrative tasks as required.
- Maintain accurate sales and documentation records.
- Prepare weekly sales reports and receivables updates.
- Ensure data integrity in ERP/accounting systems.
- Handle incoming calls and route accordingly.
- Provide general administrative support.
- Ensure compliance with company policies and procedures.
- Support ad hoc tasks assigned by management.
G. Other Duties: Perform other duties or projects as assigned by the Company.
Job Requirements- Diploma or Degree in Business, Supply Chain, Logistics, Accounting, or related field
- 2–5 years of relevant experience in sales coordination, order processing, procurement, or admin support
- Proficient in Microsoft Office (especially Excel); experience with ERP/accounting systems is an advantage
- Familiar with sales documents (Quotation, Sales Order, Delivery Order, Invoice)
- Good coordination and organisational skills, able to handle multiple tasks
- Detail-oriented with strong accuracy in data entry and documentation
- Good communication skills and able to work with different departments
- Able to work independently in a fast-paced environment
- Able to start work within short notice / immediately preferred
