Responsibilities:
Executive Assistant- Support calendar management.
- Coordinate and manage travel arrangements, including flights, visas, and hotel bookings.
- Arrange hotel accommodation and logistics for travelers and visitors as needed.
- Provide ad hoc support as required.
- Act as the main point of contact for facility management matters.
- Manage office access and season car parking allocations for employees.
- Source and purchase of office supplies and equipment in accordance with company policies (e.g., IT equipment, stationery) as well as freight forwarders airway bill suppliers.
- Oversee third-party services, including cleaners and plant suppliers, ensuring service quality.
- Support pre-onboarding of new hires and ensure day-one readiness, assist in new hire onboarding program.
- Administer annual renewal of employee group Insurance and flexi-benefits
- Coordinate corporate credit card registration/termination with Finance.
- Collaborate with IT and stakeholders for equipment purchase and setup.
- Submit one-time payment or reimbursement for benefits and ad-hoc payments, as needed
- Daily processing of incoming mail and preparing outgoing mail.
- Manage and organize routine or planned company events such as annual dinner, corporate social responsibilities event, lunch and learn sessions, festive and birthday celebrations, or ad-hoc events.
- Diploma and/or Degree in Business Management or related field
- At least 2-3 years of relevant experience as an office manager or executive assistant
- Self-motivated, pro-active and able to work in a fast-paced environment
- Independent and able to multi-task
