Operations Executive (Automotive – Post-Sales Execution)

The Sales & Operations Executive supports the end-to-end execution of all sales activities after the signing of the Vehicle Sales Agreement (VSA). This role focuses on operational follow-through, customer coordination, documentation control, and balance payment tracking to ensure timely deal closure and high-quality vehicle delivery.

Key Responsibilities

Post-Sales Administration & Follow-Up
  • Track all signed VSAs and maintain an accurate execution pipeline.
  • Follow up with customers on outstanding balance payments, financing approvals, and required documentation.
  • Coordinate with Sales Consultants (SCs) to ensure timely completion of customer commitments.
Execution & Delivery Coordination
  • Arrange and coordinate vehicle inspections, PDI, logistics movements, and delivery handovers.
  • Prepare and verify all delivery documentation, ensuring completeness and accuracy.
  • Support customer communications on delivery timelines and outstanding requirements.
Operational Support
  • Update internal systems and trackers on payment status, delivery readiness, and exceptions.
  • Flag ageing cases, risks, or discrepancies to the Sales & Operations Manager early.
  • Assist in resolving operational issues, customer queries, or internal escalations.
Process Compliance
  • Ensure all activities are carried out in accordance with internal SOPs and compliance standards.
  • Maintain proper filing and records for audit and reporting purposes.
Reporting & Coordination
  • Prepare daily and weekly operational status reports.
  • Liaise with Finance, Credit, Logistics, and Service teams on execution matters.
  • Any other ad hoc operational duties as assigned.
Job Requirements
  • Diploma in Business Administration, Operations, Logistics, or related field.
  • 1–3 years of experience in automotive operations, sales administration, customer service, or similar roles.
  • Strong attention to detail and high level of responsibility in handling payments and documents.
  • Well-organised, able to manage multiple cases concurrently under deadlines.
  • Good communication skills, comfortable dealing with both customers and sales staff.
  • Proficient in Microsoft Excel and basic reporting tools.
  • Experience with CRM or dealer management systems is an advantage.
