Student Operations Coordinator
The Success Coordinator (Student Coordinator) is responsible for driving the smooth execution of student scheduling, parent logistics, centre operations, and administrative workflows. This role sits at the heart of the centre’s daily operations and requires someone who is highly organised, operationally strong, calm under pressure, and able to manage multiple moving parts without letting details slip.
This person will play a central role in shaping the day-to-day student and parent experience by ensuring that schedules are well coordinated, communication is clear, centre resources are properly managed, and in-centre operations run smoothly.The role also oversees in-house Student Success interns and supports the effective functioning of the centre as a whole.
Key Responsibilities
Student Scheduling & Parent Logistics- Own and manage student lesson schedules, timetable planning, rescheduling, and make-up lesson coordination
- Work closely with educators and parents to align lesson schedules with student, educator, and centre needs
- Manage parent-facing logistical communication clearly, accurately, and professionally
- Anticipate and handle scheduling conflicts, changes, and operational issues with strong follow-through
- Support the management of parental expectations relating to lesson timings, attendance, and scheduling matters
- Oversee day-to-day centre operations to ensure lessons run smoothly and efficiently
- Manage the centre’s space utilisation, including classroom allocation, lesson flow, and operational readiness
- Coordinate room usage and lesson movement across the centre to minimise clashes and disruption
- Maintain strong awareness of operational bottlenecks and solve issues quickly during lesson hours
- Manage administrative tasks and workflows required for smooth centre operations
- Ensure records, schedules, communications, and operational information are maintained accurately and consistently
- Track, organise, and follow through on key administrative processes in a timely manner
- Build and maintain orderly systems so that recurring operational work is executed reliably
- Manage the inventory of student snacks, drinks, and other student experience items in the centre
- Ensure student-facing supplies are stocked, organised, and replenished on time
- Help maintain a welcoming, prepared, and student-friendly centre environment
- Support a smooth and thoughtful in-centre experience for students and parents
- Oversee and coordinate in-house Student Success interns in their day-to-day responsibilities
- Delegate, monitor, and maintain standards for operational support tasks carried out in the centre
- Ensure interns are contributing effectively to front-facing and internal operations
- Support the smooth execution of in-centre workflows across peak operational periods
- Work closely with educators, parents, and internal team members to ensure strong coordination on lesson operations
- Surface issues, risks, or recurring bottlenecks early and communicate them clearly
- Help the centre balance student needs, educator schedules, spatial constraints, and operational priorities
