Role Overview
The Senior Executive / Manager, Communications & Executive Support provides high-level strategic, administrative, and communications support to the CEO.
This role ensures the effective functioning of the CEO’s office, safeguards the quality and integrity of executive and public communications, and upholds governance, confidentiality, and corporate standards across internal and external engagements.
The incumbent serves as a trusted gatekeeper and coordination lead, requiring exceptional organisational skills, strong written English, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced executive environment.
Key ResponsibilitiesA. Executive Office Management & Strategic Support
- Calendar & Priority Management
- Strategically manage and optimise the CEO’s calendar in alignment with business priorities.
- Coordinate complex internal and external meetings across multiple time zones.
- Anticipate scheduling conflicts and propose solutions proactively.
- Ensure proper meeting preparation including agendas, briefing notes, and pre-read materials.
- Exercise sound judgment in assessing and prioritising meeting requests.
- Business Travel Management
- Plan, coordinate, and manage all aspects of the CEO’s business travel.
- Arrange flights, accommodation, ground transportation, and itinerary planning.
- Manage visa applications and ensure compliance with entry requirements.
- Anticipate travel contingencies and provide real-time problem resolution where required.
- Ensure travel schedules align with business objectives and meeting priorities.
- Correspondence Management & Executive Gatekeeping
- Act as the central coordination point for the CEO’s office.
- Screen, prioritise, and manage incoming emails, calls, and meeting requests with discretion.
- Draft, edit, and refine correspondence on behalf of the CEO.
- Ensure confidentiality, precision, and professionalism in all communications.
- Maintain systematic follow-ups on pending matters and commitments.
- Executive Documentation Review & Governance Control
- Proofread, edit, and vet reports, board papers, management presentations, and proposals prior to CEO review.
- Assess documents for clarity, logical flow, strategic alignment, and risk exposure.
- Ensure formatting consistency and adherence to corporate standards.
- Flag inconsistencies, gaps, or reputational risks before escalation.
- Maintain structured filing and version control of executive documentation.
- Meeting Minutes & Action Tracking
- Prepare, draft, and circulate accurate minutes of meetings in a timely manner.
- Capture key decisions, action items, and accountabilities clearly.
- Track follow-ups and monitor closure of action items.
- Maintain confidentiality and precision in documentation.
- Support consolidation of management updates and executive summaries when required.
- Internal Communications
- Draft and coordinate internal announcements, CEO messages, and townhall materials.
- Ensure alignment in tone, clarity, and organisational positioning.
- Review and refine departmental communication materials where required.
- Support change communication initiatives led by the CEO.
- External & Media Communications
- Draft, edit, and proofread media-related documents including:
- Press releases
- Speeches
- Key messages
- White papers / position papers
- Corporate statements and external communication materials
- Ensure event-related communication materials are professionally drafted, reviewed, and validated with relevant stakeholders.
- Coordinate closely with Corporate Media and Communications teams to obtain formal validation and approval prior to release.
- Work with Corporate Legal and Media teams to ensure compliance, risk mitigation, and message integrity in all public communications.
- Safeguard corporate reputation by ensuring accuracy, consistency, and alignment in messaging.
- Quality Control & Brand Consistency
- Maintain high standards of written communication across executive-level documents.
- Ensure consistency in formatting, branding, and language standards.
- Develop and maintain templates and style guidelines for corporate communications.
- Promote a culture of professionalism in written communication standards across the organisation.
- Event Piloting & Execution
- Lead the planning, coordination, and execution of external events, including:
- Symposiums
- Customer councils
- Regional seminars
- Oversee concept development in alignment with strategic objectives.
- Coordinate cross-functional stakeholders to ensure seamless delivery.
- Manage event logistics, programme flow, and executive materials.
- Ensure event communications are validated and approved prior to release.
- Conduct post-event follow-up, reporting, and action tracking to ensure high-impact outcomes.
- Oversee administrative processes within the CEO’s office to ensure structure and efficiency.
- Manage stationery procurement and monitor stock levels.
- Maintain inventory control of corporate gifts, promotional materials, and branded merchandise.
- Track distribution of corporate items to ensure proper record-keeping and accountability.
- Coordinate logistics support for VIP visits and corporate engagements.
- Ensure administrative processes are organised, documented, and auditable where required.
