We are seeking an individual to join our team as Office Administrator. This role encompasses a wide range of responsibilities aimed at ensuring the efficient operation of our workplace environment. You will be responsible for managing office maintenance, coordinating space planning and renovations, handling correspondence, organizing travel arrangements, and supporting various administrative tasks.
This position plays a pivotal role in maintaining office efficiency, ensuring employee satisfaction, and fostering a productive work environment.
- Responsible for daily internal and external administrative operations, including maintenance of the office environment, management of office supplies, property contact and management, etc;
- Responsible for the reception of external visits and exchanges, as well as the expansion and maintenance of reception resources;
- Coordinate and participate in office space planning, maintenance, and renovations for Singapore or overseas;
- Participate in the preparation and implementation of internal company activities to enhance employee engagement and foster a positive workplace culture;
- Participate in supplier management, from sourcing, evaluation, and integration, to ensure that service, quality, and cost are in the leading position in the industry;
- Handle correspondence and phone calls as the first point of contact for the company;
- Organize and assist with travel arrangements, including the preparation of visas, air tickets, and hotel bookings;
- Coordinate with the finance team by assisting in bank reconciliation for admin or office expenses, ensuring accuracy;
- Any other ad-hoc work as assigned.
Job Requirements:
- Bachelor’s degree or equivalent qualification required.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Comfortable working in a fast-paced environment with the ability to adapt quickly.
- Strong multi-tasking skills with the ability to prioritize and manage competing demands.
- Flexible, detail-oriented, courteous, self-motivated, dedicated, and a strong team player.
- Excellent interpersonal and communication skills, with the ability to collaborate effectively with internal and external stakeholders.
- Bilingual proficiency in English and Mandarin is an advantage to effectively liaise with Mandarin-speaking counterparts.
