Responsiblity:

  • Manage professional and personal scheduling for senior directors, including agendas, email, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as spreadsheet creation, maintenance of filing system and contacts database
  • Maintain professionalism and strict confidentiality with all materials
  • Assist the Senior Leader in preparing for meetings by organizing materials, booking venues etc
  • Conduct data collection and analysis, and prepare reports and presentation slides
  • Organize engagement events by coordinating schedules and overseeing logistical arrangements
  • Review and ensure timely processing of documents requiring the Senior Leader's approval
  • Perform administrative tasks such as typing, filing, and photocopying of tender documents etc
  • Prepare and submit expense claims
  • Undertake additional responsibilities as assigned by the Reporting Officer

Requirements:

  • Provide administrative support to a team.
  • Must be proficient in Word, Excel, and PowerPoint. Outlook experience also preferred.
  • Duties will include calendaring, scheduling, email, phone work, travel & expenses and other clerical tasks. PC skills a must, as well as excellent written and oral communication skills.
  • Must be able to prioritize work and project a professional manner.
