Project/Operation Assistant (6-month contract), IITS - Toa Payoh

This position is for Office of Integrated Information Technology Services (IITS).
- Device as a Service (DaaS) project
- Manage the increasing volume of requests and ensure timely execution of project-related tasks.
- Collaborate closely with stakeholders and the appointed vendor to identify existing assets due for technical refresh.
- Handle first-level inquiries from various departments and schools, addressing diverse historical scenarios and providing appropriate guidance.
- Monitoring the appointed vendor service delivery to ensure it meets the contract expectations.
- Contract Staff PC Allocation
- Manage the allocation of PCs for contract staff (new hires and replacements).
- Coordinate with the DaaS vendor to ensure all contract staff receive their devices on time.
- Maintain tracking and documentation for equipment distribution.
- Common PC Replacement Activities
- Oversee the replacement of common desktops for respective officers and centre.
- Work closely with the DaaS vendor to ensure replacements are completed on schedule.
- Ensure smooth transitions and minimal disruption to user operations.
- External Fund Requests
- Assist in the preparation and processing of requests for external funding.
- Obtain and manage quotations from vendors as required.
- Ensure all funding-related documentation is complete and submitted in a timely manner.
- Printer as a Service (PRaaS) Project
- Coordinate with vendors and internal teams throughout the project implementation, including (but not limited to) liaising with stakeholders on implementation activities according to the project plan, and managing user feedback, etc.
- Support system testing, device validation, and issue tracking during deployment phases.
- Maintain comprehensive project documentation and facilitate clear, consistent communication among all stakeholders.
- Maintain list of leasing printers (model, serial numbers, leasing duration and leasing contract info).
- Work with SOCIs for any refresh of printers to minimize downtime.
- Ensure printer faulty report and print volume report provided by vendor are on time. Review and highlight for any discrepancies.
- Other duties as assigned.
- Diploma in IT or a related field, with a minimum of 3 years of relevant experience.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiar with office equipment (laptops, desktop, printers, copiers).
- Good project and vendor management skill.
- Excellent interpersonal and communication skills (written and oral).
- Warm and cheerful personality with a proven track record of excellence in customer.
- Team player, result oriented and highly independent.
