Admissions Administrator

Overview

The Admissions Administrator will assist in performing administrative roles related to admissions with a specific focus on customer service under the direction of the Senior Admissions Executive. The successful candidate will have an international outlook and an appreciation for the impact the admissions department can have in the School. This person will be quick to learn about the organization and begin to interact with various stakeholders to perform the role immediately. The ideal candidate should be an experienced team player who brings enthusiasm and a proactive mindset. You will work with different stakeholders on the following functions:

General responsibilities and duties
  • Responsibility to maintain relevant Standard Operating Procedures and adhering to the School’s Policies.
  • Responsibility for the administration and execution of requests for student admissions documents such as transcripts, school references, student records, certificate of enrollment etc.
  • Manage the admissions admin inbox, responding to inquiries, forwarding relevant requests, and ensuring timely follow-ups.
  • Responsibility for the administration and execution of the student pass application process.
  • Responsibility for the administration and execution of the MOE exemption process and MOE Language requirements.
  • Collaborate with the Senior Admissions Executive to ensure that all student data is organised within the student management/Admissions Management database and kept up to date.
  • Responsibility for the monthly residency checks.
  • Prepare and provide weekly and/or monthly reports for departmental review.
  • Assist with internal audits, statutory audits and process reviews.
  • Act as a brand ambassador representing the school at internal and external events with prospective new parents throughout the year as required (School Tours, Open House, Networking, Expat Fairs, etc).
  • Responsibility for the administration and execution of the school’s course withdrawal, transfer and deferment policies and procedures.
  • Survey creation, distribution, monitoring and feedback (new joiners and leavers)
  • Act in compliance with all Admissions Department regulatory obligations at all times, in particular those set out by EDB, MOE, ICA and CPE / EduTrust.
  • Work closely with the Senior Admissions Executives and Admissions Officers.
  • Any other duties as required by the Senior Admissions Executive, Head of Admissions and/ the Director of Admissions, Scholarships and Philanthropy.

Responsibilities and duties specific to Elementary and High School

Elementary School
  1. Assist with the administration and execution of student contracts, including contract preparation, issuance and signing (including following up where contracts are not signed), and revisions (where applicable).
  2. Informing the Finance Department when any new contract has been issued, to facilitate the purchase of FPS and the issuance of invoices.
  3. Annual execution of re-enrolment procedures and related issuance of student contracts.
High School
  1. Responsible for creating, formatting, and preparing admissions tests, ensuring accuracy and efficiency in test materials and coordination.
  2. Support the application process by reviewing submissions, ensuring completeness, and following up with applicants as needed.
  3. Annual execution of re-enrolment procedures related to acknowledgement of T&Cs

Safeguarding:

  • Abide by the school safeguarding policy and keep abreast of any changes
Skills/Requirements/Qualifications
  • Bachelor’s degree or equivalent
  • Minimum 3 years of relevant experience, preferably in an international school or educational setting
  • Excellent written and verbal communication skills
  • Meticulous, resourceful and with a strong sense of initiative.
  • Ability to manage multiple tasks simultaneously in a fast-paced environment
  • Positive team player, able to collaborate with various stakeholders
