Executive Assistant (Central / Trading Firm ) - Toa Payoh

We are seeking a bright and organized Executive Assistant to manage office operations and provide administrative support to senior management.
Key Responsibilities- Manage office operations, including reception, meeting room scheduling, courier coordination, call handling, visitor greeting, and pantry/stationery ordering (including business cards, letterheads, and company stamps).
- Organize and coordinate office meetings and corporate/social events (e.g., board meetings, annual celebrations, Friday breakfasts).
- Liaise with building management on office facilities matters (e.g., fire drills, parking)
- Ensure office equipment, furniture, and facilities are in good working order; coordinate with IT teams as needed.
- Provide administrative support to senior management and staff, including coordination with the corporate secretary on legal documentation.
- Manage staff welfare initiatives (e.g., welcome gifts, get-well hampers, condolence wreaths).
- Coordinate with global admin teams to ensure service level consistency.
- Handle travel arrangements and expense management, including corporate card applications and monthly budget reporting.
- 3–5 years’ experience in administrative/office management roles, preferably within an MNC environment.
- Strong organizational and multitasking abilities with attention to detail.
- Good communication and interpersonal skills to work with multiple stakeholders.
- Able to work independently and maintain confidentiality at all times.
- Exposure to an international, multicultural corporate environment.
