- My Client, a renowned organisation in the FMCG is looking to hire an Executive Assistant to support the Global Marketing Team
- Monday - Friday
- Office hours
- Central
- Salary - Up to $7.5k! (Subjected to experience)
- 12 months contract, (renewal subjected to performance)!
- Candidates who are available on an immediate basis will be preferred!
The Talent:
- Minimum 10 years of solid experience as an executive secretary or executive assistant preferably gained from a similar set up
- Current or previous experience working in the financial industry, preferably either for an FMCG or Blue Chip MNC
- Attention to detail and problem-solving skills, as well as the ability to think holistically to "see the big picture"
- Flexible working in terms of when work is performed as business is conducted across multiple time zones
- Good communications and interpersonal skills. Ability to take initiative and build strong, productive network and relationships
- Executive and Administrative Support: Provide comprehensive secretarial and administrative support for the investment team, including complex scheduling, meeting preparation, and follow-ups.
- Meeting and Event Coordination: Organize materials for meetings, manage team reporting, and handle team/office events and catering.
- Travel Management: Arrange and adapt complex travel plans, including accommodations, transfers, and conference registrations.
- Expense and Invoice Management: Prepare monthly expense reports, assist with claims, and coordinate with Finance on invoicing.
- Guest and Inquiry Handling: Serve as a point of contact for inquiries and manage guest relations on behalf of the Singapore office.
- Document Management: Oversee filing, archiving, and presentation preparation.
- Communication: Screen and respond to calls and emails professionally, using good judgment.
- Stakeholder Collaboration: Work with various departments and external stakeholders while maintaining confidentiality.
- Regional Admin Support: Coordinate with administrative teams in other locations for regional needs.
- Office Upkeep: Handle couriers, packages, office maintenance, and supplies.
- Security and Compliance: Exercise judgment on security procedures.
- Other Duties: Perform additional tasks as assigned.
