Operations Manager
Role Description
This is a full-time, on-site role based in Singapore for a Manager (Operations). The Manager is responsible for overseeing the daily operations of the mailroom, ensuring accurate, timely, and secure handling of incoming and outgoing mail, parcels, and courier services.
Key responsibilities include managing end-to-end mailroom processes, coordinating with internal departments and external service providers, and implementing operational controls to improve efficiency and service quality.
The role also involves supervising mailroom staff, managing operational budgets, maintaining inventory of supplies and equipment, and ensuring compliance with company policies and regulatory requirements.
The Manager will identify process improvement opportunities, introduce best practices, and leverage mailroom systems or tracking tools to optimize workflow. Strong leadership, attention to detail, and problem-solving skills are essential to ensure smooth day-to-day operations and high service standards.
Qualifications- Proven experience in mailroom operations, facilities operations, logistics, or administrative operations
- Strong leadership and people management skills to supervise, train, and motivate mailroom staff
- Experience in process optimization, workflow improvement, and operational planning
- Strong analytical and problem-solving skills, with the ability to manage budgets, schedules, and resources effectively
- Excellent communication and interpersonal skills to liaise with internal stakeholders, vendors, and courier partners
- Knowledge of regulatory requirements, data privacy, and security standards related to mail handling and document management
- Proficiency in mailroom management systems, tracking tools, or relevant operational software
- Diploma or Bachelor’s degree in Business Administration, Operations Management, Facilities Management, or a related field is preferred
- Experience managing mailroom or operations functions within a corporate or shared services environment in Singapore is an advantage.
