A Singapore-based investment firm experiencing strong growth is looking to expand its support team. We are hiring an Executive Assistant reporting to the Chief of Staff to provide dedicated support to the Executive Chairman. This position suits someone who is highly organised, forward-thinking, and comfortable navigating a dynamic corporate environment.Absolute discretion and sound judgement are essential.
Your new role- Oversee the Chairman's day-to-day calendar, managing appointments, meetings, and personal engagements.
- Handle all logistical arrangements for meetings, including venue bookings, guest coordination, catering needs, and dining reservations.
- Prepare documents, briefing materials, meeting notes, and ensure follow-up actions are tracked to completion.
- Manage phone calls, emails, documents, and other correspondence on behalf of the Chairman.
- Plan detailed travel schedules for the Chairman-and occasionally his family-including flights, accommodation, itineraries, and expense processing.
- Liaise regularly with internal teams, external partners, and clients to ensure a smooth communication flow.
- Provide support on ad-hoc projects, research tasks, and progress tracking.
- Manage the Chairman's expense claims, personal payments, and administrative matters.
- Assist in the organisation of corporate events, off-site, and executive-level sessions.
- Maintain structured filing systems and ensure documents are properly organised and accessible.
- Uphold a high level of professionalism and confidentiality in all interactions and decisions.
- 5-8 years of experience in executive support or secretarial roles.
- Someone who thrives under pressure, can juggle multiple tasks, and works well independently.
- Proven ability to handle confidential information with tact and discretion.
- Strong understanding of organisational dynamics and the ability to navigate internal relationships effectively.
- Resourceful problem-solver who can anticipate needs and propose workable solutions.
- Excellent written and verbal communication skills, with a polished and professional tone.
- Capable of building rapport with senior leaders, internal teams, and external stakeholders alike.
- Experience in refining processes, enhancing workflows, and optimising administrative operations.
- Confident in managing vendors, monitoring service quality, and handling basic contract or service-level matters.
