Senior/Executive, Facilities Management

Facilities Management supports the day-to-day facilities operations across the organization's offices, clinics, and healthcare facilities.

The role focuses on execution and coordination of maintenance, renovations, licensing, and vendor management to ensure facilities are operational, compliant, and well-maintained.

The position also provides support for projects and operational initiatives, while ensuring adherence to approved budgets, timelines, and internal processes.

Key Responsibilities
  1. Facilities & Maintenance
  • Support day-to-day facilities operations across all sites
  • Coordinate preventive and corrective maintenance works
  • Liaise with contractors/vendors to resolve facilities-related issues
  • Ensure facilities meet operational and safety standards
  • Support general facilities management and housekeeping for HQ
  1. Lease Management & Administration
  • Maintain lease tracker and monitor lease expiry dates
  • Support lease renewal processes and documentation
  • Liaise with landlords on operational matters
  • Assist in facility relocations, reinstatements, and closures
  • Track and follow up on security deposit recovery
  1. Renovation, Setup & Project Coordination
  • Support execution of facility setup, relocation, and closure projects
  • Coordinate with internal stakeholders on layout and requirements
  • Obtain and compare contractor quotations
  • Monitor project timelines and escalate delays/issues
  • Track project costs against approved budgets
  1. Budget Tracking & Cost Control
  • Track expenditure against approved budgets
  • Support preparation of cost estimates for projects
  • Highlight potential cost overruns or savings opportunities
  1. Licensing & Compliance
  • Support application and renewal of licences (e.g. MOH, NEA, MOM, EMA, BCA)
  • Coordinate inspections and documentation
  • Maintain records and track licences expiry dates
  1. Vendor & Contractor Coordination
  • Coordinate with vendors for maintenance and project works
  • Ensure quotations are obtained and documented
  • Monitor vendor performance and follow up on issues
  1. Equipment & Infrastructure
  • Assist in sourcing of equipment
  • Coordinate delivery, installation, and setup
  • Ensure readiness of equipment prior to opening
  • Maintain equipment tracker and monitor the preventive maintenance dates
  1. Utilities & Infrastructure
  • Coordinate setup/termination of utilities (SP, telecoms, etc.)
  • Support signage installation and site readiness
  1. Cross-Functional Support
  • Support Operations and Business Units in facility-related matters
  • Assist in feasibility checks and site preparation
  • Provide coordination support for new initiatives
  1. Finance & Administrative Support
  • Raise purchase requisitions (PRs)
  • Track invoices and follow up on discrepancies
  • Support documentation for approvals and payments
  • Coordinate with internal teams (Finance, Legal, Operations) as required
Key Requirements
  • Diploma/Degree in Facilities Management, Operations, or related field
  • 2–4 years of relevant experience
  • Experience in facilities coordination, maintenance, or projects preferred
  • Good coordination and stakeholder management skills
  • Able to manage multiple tasks and follow through on execution
