This Team Administrator will have a wide and varying role assisting the Senior Compliance Manager and Business Acceptance Manager to ensure that business agreements and internal policies adhere to current legal standards. This role may appeal to an individual with hands-on experience with some exposure to aspects of compliance or comparable function.
Responsibilities- Arranging training sessions for the team (including checking calendars and room booking)
- Maintenance of intranet pages
- Taking minutes of meetings
- Meticulously examining operational practices to identify any discrepancies or potential areas of vulnerability and assisting with escalations in the event of non-compliance
- Review new client, new matter and CDD forms submitted by fee earners to verify compliance with AML Policies
- Ensure CDD memos, new client matter opening forms and supporting KYC documents are filed on the firm’s central database; ongoing review of CDD documentation held for existing clients
- Assist in the submission of AML questionnaires and annual AML returns as and when requested by local regulators
- Assist with the Firm’s internal audit processes
- Ability to assist with duties for other offices in differing time zones from time to time
- General ad hoc duties; including but not limited to supporting business acceptance tasks/projects as they arise
- A thorough understanding of working in a professional, service driven environment and stakeholder/client/business confidentiality; experience working in a law environment beneficial
- Experience in a compliance analyst role or comparable function in compliance department functions OR hands-on experience with some exposure to aspects of compliance but no direct experience such as in a role as a legal EA or a company secretarial assistant beneficial
- Confident and professional manner with the ability to build strong relationship with fee earners and business services employees
- Excellent written and oral communication skills and the ability to interact effectively with a broad range of people in a professional manner; Chinese reading and writing skills would be advantageous
- Collaborative and supportive of the business and its initiatives
- Ability to escalate and communicate issues in a timely and effective manner
- Proactive, adaptable and open to change; able to organise and prioritise multiple assignments in a fast-paced environment
- Strong research, analytical and problem-solving skills with attention to detail
- Reliable, hardworking, work to tight deadlines and have the ability to remain calm when under pressure
- Anticipate and identify potential problems and provide innovative solutions
- Advanced Microsoft Office skills
