Our esteemed client is looking for Executive Assistant – Admin (Pharmacy Department)

Job Responsibilities:

  • Manage the Head of Department's schedule, coordinate meetings, book venues, and arrange catering when needed.
  • Facilitate department meetings and team-building events.
  • Assist in onboarding new staff by coordinating access requests and following up on HR-related issues.
  • Compile and update relevant departmental data for cost management and performance improvement.
  • Oversee purchasing processes, including securing supplier quotations and submitting invoices for payment.
  • Handle internal department claims related to subventions or external grants.
  • Reconcile charge reports for assigned tasks as necessary.
  • Support audit reviews by providing necessary documentation to auditors.
  • Manage procurement-related documentation including purchase requests and approvals.
  • Document and distribute minutes from meetings.
  • Collect and deliver documents to various areas within the organization.
  • Maintain and monitor usage of office supplies for the department.
  • Oversee gift pack management including storage and distribution.
  • Execute additional tasks as assigned by the supervisor.

Requirement:

  • Diploma holders
  • A minimum of 2 years' experience in clerical and administrative roles.
  • Good computer skills in MS Word, Excel, and PowerPoint.
  • Team player
