Operations Administrative Executive

We are seeking a detail-oriented and proactive Operations Administration Executive to strengthen the Operations Division by taking on administrative, reporting, and coordination responsibilities, including working closely with Finance department.
This position is suited for an individual with a good grasp of finance fundamentals, strong organisational skills, and the ability to work effectively across departments.
Operations Administration & Coordination- Provide administrative support to Operations, including handling documentation, maintaining systematic records, and updating data logs.
- Compile and analyse operational statistics to support management insights, forecasting and decision-making.
- Track and monitor compliance-related submissions, including Internal Control Questionnaires (ICQ), ensuring adherence to internal policies and audit requirements.
- Support operational projects, such as new service launches, terminal-related initiatives, and process improvements, by preparing documentation and reports.
- Coordinate with vendors, partners, and internal teams to streamline operational workflows, including raising invoices, and finance reconciliation, and account opening processes.
- Manage the resolution and reconciliation of disputed invoices, including investigating billing issues and following up with customers to resolve disputes
- Monitor the financial health and creditworthiness of customers, including managing cash
- Monitor and follow-up on aging reports to support timely collections
- Liaise between Finance and Operations teams to coordinate information and ensure alignment of processes
- Maintain accurate and organized financial records and documentation for easy retrieval and audit readiness
- Serves as a checker for expense claims from Operations
- Consolidate and prepare monthly operational budgets, forecasts and monthly management reports for review by senior management.
- Compile and analyse operational statistics and assist with operational forecasting to inform business decisions
Any other tasks and administrative support as assigned by your reporting manager.
Requirements:
- At least 2–4 years of relevant experience in finance, accounting, or administrative support roles.
- Strong numerical skills and attention to detail.
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Good communication skills and ability to work effectively with cross-functional teams and multiple reporting lines.
- Organised, proactive, and able to manage multiple priorities in a fast-paced environment.
- Experience in the transport, logistics, travel, or maritime sectors is an advantage.
