About the Role
We are seeking a friendly and well-organized Receptionist to join our team! You will play a key role in creating a positive first impression and ensuring smooth day-to-day administrative operations.
Key Responsibilities:
Visitor Management-- Greet and welcome guests warmly, ensuring a professional and pleasant experience that reflects positively on the company
Administrative Support-
Assist in a wide range of administrative tasks to keep operations running , including but not limited to:
- Scheduling appointments and organizing calendars
- Managing incoming calls, emails, and other communications
- Sorting and distributing mails
- Data entry and maintaining accurate records
- Handling expense reports
- Providing general office management support
- Ensuring the office environment is clean, tidy, and well-stocked
- Ensuring meeting rooms are set up and ready for scheduled meetings
- Assist with meeting minutes
- Support event planning including sourcing, preparing materials and liaising with vendors
- Support training sessions and workshops
- Coordinating travel arrangements (if any)
- Performing other administrative duties as assigned by supervisors
- Proficiency in office software (example Microsoft Office)
- Previous experience in a similar front desk, receptionist, or administrative role
- Strong customer service orientation and excellent interpersonal skills
- Proficiency in Mandarin (spoken) to communicate with Mandarin-speaking guests and vendors
