Job Description
  1. Firefly Award Administration & Coordination
  1. Award Administration
  • Review and finalise awards information kit and nomination forms in coordination with MTI-HQ
  • Manage the call for nominations process with heads of agencies and the Firefly OD/OE network
  • Collate and organise all submitted nominations across FFA and PSTA award categories
  • Populate scoring workbooks and coordinate the evaluation process with OD/OE representatives and director-level judging panels
  • Facilitate endorsement processes and communicate results to stakeholders
  1. Event Management
  • Coordinate winner verification and certificate/plaque printing with MTI-HQ
  • Procure vendors for video production and programme booklet creation
  • Purchase event materials (e.g., folders, plaques, gift vouchers)
  • Collaborate with the NDA team on event planning, including logistics, seating, scripts, and registration
  • Support the overall FFA Event IC and coordinate event-day operations
  • Calculate cost-sharing arrangements across Firefly agencies and conduct post-event After Action Review (AAR)
  1. Staff Engagement Events & Communications
  • Support the design and execution of staff engagement activities
  • Design broadcasts/videos to promote areas such as learning & development, career development, and engagement initiatives
  • Undertake design and video production projects for staff engagement (e.g., staff features)
  1. Staff Forum
  • Design and conceptualise EDMs for publicity
  • Coordinate calendar invites, reminders, and pre-event briefings
  • Develop creative icebreaker activities for a large and diverse staff profile
  • Design interactive segments to encourage cross-departmental networking and participation
  • Manage procurement for catering, fringe activities, event materials, and engagement elements
  • Source and manage vendors to ensure quality service delivery
  • Provide onsite event support
  1. Leader Development Programme
  1. Coaching Skills Training for Leaders
  • Liaise with training vendors to coordinate schedules for leadership cohorts
  • Facilitate communication between vendors and EMA leadership participants
  • Coordinate logistics arrangements with vendors
  • Support scheduling and coordination of Communities of Practice (COP) sessions
  • Manage procurement processes for training-related requirements
  • Ensure smooth programme delivery and resolve coordination issues
  1. Leadership and Learning & Development (L&D)
  1. Leadership Development Support
  • Provide end-to-end logistics and procurement support for Leadership Brown Bag sessions
  • Manage stakeholder inputs, logistics, and project timelines
  1. Learning & Development Support – MTI Firefly Programme
  • Support organisation and execution of the MTI Firefly Induction Programme
  • Manage programme logistics and required information
  • Coordinate with internal and external stakeholders to ensure timely inputs
  • Assist with collateral design and communication materials
  • Support procurement processes as needed
  1. Learning Tech Project
  • Coordinate workshops to validate competencies and job families
  • Compile and organise information
  • Manage stakeholder inputs and develop communication materials
Key Requirements
  • At least 3 years of relevant experience
  • Experience facilitating communication between different stakeholder groups and resolving coordination issues
  • Strong organisational skills to manage timelines, schedules, and administrative processes
  • Strong attention to detail for data administration and compilation
  • Understanding of public sector environment and processes
  • Ability to work independently while supporting senior staff
