We are seeking a Personal Assistant to provide dedicated support to our Managing Director, serving as the primary coordinator of tasks and priorities. The role requires strong active listening and summarisation skills, with the ability to accurately interpret verbal instructions and produce clear, concise summaries of discussions, key decisions, and agreed action points.

The successful candidate should also demonstrate excellent follow-up skills across multiplesubjects and tasks, ensuring timely execution and closure.

Key Responsibilities

Executive Support:

  • Provide day-to-day administrative support to the Managing Director, including calendar management and scheduling meetings
  • Taking minutes of meetings and follow-up on action items
  • Drafting, reviewing and formatting documents and reports
  • Monitor and organize email and phone communications, and responding where appropriate or flagging critical items
  • Assist with document reviews, data gathering, and follow-ups on key business and property matters
  • Maintain confidentiality and handle sensitive information with discretion
  • Act as a liaison between the Managing Director and internal/external stakeholders
  • Assist in office management and procurements of items
  • Perform any other task assigned by immediate supervisor/ management

Administrative Support:

  • Attend to walk-in couriers and deliveries or guests
  • Manage the ordering of pantry and stationery items to ensure adequate supplies
  • Assist in other administrative duties as required by the team

Requirements:

  • Diploma or Degree in Business Administration or related field is an advantage
  • 2 to 3 years of relevant administrative experience
  • Good active listening and strong note-taking abilities
  • Strong organizational and multitasking skills
  • Excellent written, verbal communication and interpersonal skills
  • High level of discretion, professionalism, and attention to detail
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
