Role Overview

We are seeking an experienced Administrative Assistant to provide comprehensive support to a dynamic Commodities Trading and Sales team of 10+ professionals. This role is critical in ensuring the smooth operation of front office activities in a fast-paced environment.

You will work closely with another administrative assistant already supporting the team, requiring minimal training and the ability to quickly adapt to established processes.

Key Responsibilities
  • Deliver high-quality administrative support to a busy front office team.
  • Manage extensive scheduling, including complex calendar coordination across multiple stakeholders.
  • Handle expense submissions with precision and efficiency, ensuring compliance with internal policies.
  • Organize meetings, conference calls, and team events, often across multiple time zones.
  • Provide logistical support for client visits, internal reviews, and trading floor requirements.
  • Maintain accurate records and documentation, supporting operational excellence.
  • Collaborate with the existing admin team member to balance workload and ensure seamless coverage.
Required Skills & Experience
  • Front Office Support Expertise: Proven track record (3–5+ years) in supporting trading, sales, or similarly high-pressure environments.
  • Scheduling Mastery: Extensive experience managing complex calendars for multiple stakeholders.
  • Expense Management: Strong background in handling high volumes of expense submissions with accuracy.
  • Team Support: Ability to support a group of 8–10+ professionals, balancing competing priorities.
  • Adaptability: Comfortable working in a dynamic, fast-moving environment with minimal supervision.
  • Professional Communication: Strong interpersonal skills, with the ability to liaise effectively across teams and levels of seniority.

Candidate Profile

The ideal candidate is proactive, detail-oriented, and thrives in a high-energy front office setting. You should be able to anticipate needs, manage multiple priorities simultaneously, and deliver results with minimal guidance. Previous experience in financial services or trading environments will be highly advantageous.
