Role Summary
Provide end-to-end HR operations support and take ownership of key workflows across HRMS/Timesheets, Work Pass administration, onboarding/offboarding, and employee lifecycle documentation. Mentor junior team members and help improve processes in line with management’s direction.
Key Responsibilities- Own daily HR administration and service desk support; ensure SLA adherence and data accuracy.
- Administer HRMS (e.g., staff master data, records updates, leave/attendance, timesheets); generate monthly dashboards and exception reports.
- Lead Work Pass matters (EP/S Pass/DP/LTVP): application, renewal, issuance/IPA, cancellation; ensure MOM compliance.
- Oversee onboarding & offboarding: prepare letters (offer, confirmation, probation outcome), collect documents from resignees, coordinate IT/assets, and conduct HR briefing.
- Manage performance appraisal administration (cycle setup, reminders, collation, filing).
- Support compensation & benefits ops (letters, certification of employment, claims checks).
- Coordinate training & development logistics; track attendance and training records; support SkillsFuture/WSQ where relevant.
- Support employee engagement programmes and company events; handle logistics and communications.
- Maintain and audit staff records; ensure PDPA compliance and proper file retention.
- Track daily attendance and timesheet exceptions; follow up with stakeholders.
- Manage stationery issuance to new staff; monitor inventory for pantry/stationery and reorder.
- Prepare HR reports for leadership; contribute to process improvements and SOPs.
- Any other ad-hoc HR duties as assigned.
- 3–5 years’ HR operations experience, ideally in a fast-paced services/tech environment.
- Strong knowledge of HRMS and timesheet management; confident with Microsoft 365.
- Working knowledge of MOM Work Pass processes and PDPA requirements.
- Meticulous, responsible, high integrity; strong stakeholder communication.
- Proactive, organized, and comfortable leading routine cycles and mentoring juniors.
- IHRP certification (Associate/CP) is an advantage; Diploma/Degree in HR or related field.
