KIMIA Recover is a comprehensive recovery management solution that provides a reduction in the number of hospital visits and complications. The product was also the National Winner and International Top 20 of the prestigious James Dyson Award 2020 and has gained traction with major public hospitals and orthopedic clinics.
Their digital therapy platform comprising of KIMIA Assess and KIMIA Move products, uses artificial intelligence technology for digital MSK assessment and therapy. This platform is capable of providing pre-consultation assessments and real-time exercise guidance and feedback to musculoskeletal patients and is being adopted by some of the largest private healthcare providers in the region, along with large corporate players.
Position Overview:
We are seeking a dynamic and motivated Human Resources and Administration Staff to join our team. The ideal candidate will play a crucial role in ensuring the smooth and efficient functioning of our organization's human resources and administrative processes.This role requires a strong blend of HR expertise, organizational skills, and attention to detail to support our workforce and maintain effective administrative operations.
Responsibilities:
Human Resources:
- ) Recruitment and Onboarding:
- Manage end-to-end recruitment processes, including job postings, candidate screening, interviews, and offer letters.
- Coordinate new employee onboarding, including orientation, training, and paperwork completion.
- Maintain accurate records of employee information and ensure compliance with legal requirements.
- Implement and improve company’s recruitment process, as suggested by management from time to time
- ) Policy, Compliance, and Employee Relations:
- Manage HR functions of the company from a policy level, including working with the management to formulate and implement HR Policy, monitor policy compliance and contribute towards, bi-annual KPI evaluation of employees in collaboration with managers
- Assist in application, processing, execution and closure of various governmental and non-governmental grants that support man done by the employees in compliance with company’s policies.
- Process leaves, claims and reimbursement for management and employees, ensure local and overseas expenditure easterly health check-ins, including address employee’s questions regarding their employment and /or issues faced at work
- Propose new policy changes as required to maintain a conducive and compliant work culture and introduce new policies and schemes to enhance employee engagement and productivity (e.g., flexible working hours incentives for punctuality and performance etc).
- Utilize CCTV systems to accurately monitor and record employee time in and time out for attendance tracking purposes.
- Liaise with the insurance company to obtain insurance for new employees of the company, and cancel policies and obtain refunds for employees exiting the company. Manage the insurance disbursement of medical claims from the company’s insurer to the employee.
- Act as a point of contact for employee inquiries, concerns, and conflicts, working to resolve issues effectively.
- Assist in performance management processes, including goal setting, performance reviews, and development plans.
- ) HRMS, Benefits and Compensation:
Administer employee benefits programs, such as health insurance, retirement plans, and other perks.
Support the compensation process, including salary adjustments, bonuses, and incentives.- ) HR Policies and Compliance:
Stay updated on employment laws and regulations to ensure company compliance.
Assist in the development and implementation of HR policies and procedures.
Administration:
- ) Office Operations:
Oversee daily office operations, including facilities management, office supplies, and maintenance.
Coordinate with external vendors and service providers for various office needs.- ) Fixed Assets, Inventory & Data Management:
- Fixed Assets Management:
- Asset Register Maintenance: Create and maintain a comprehensive register of all fixed assets, including land, buildings, machinery, equipment, and vehicles.
- Acquisition and Disposal: Oversee the acquisition and disposal of fixed assets, ensuring compliance with company policies and regulations.
- Asset Auditing: Conduct periodic physical audits of fixed assets to verify their existence, condition, and location.
- Documentation: Maintain all documentation related to fixed assets, including purchase invoices, maintenance records, and insurance details.
- Inventory Management:
- Stock Control: Implement inventory control procedures to ensure accurate stock levels and minimize carrying costs.
- Replenishment: Monitor stock levels and initiate replenishment orders as needed to prevent stockouts or overstock situations.
- Inventory Valuation: Implement valuation methods such as FIFO, LIFO, or weighted average to determine the value of inventory.
- ABC Analysis: Classify inventory items based on their importance and establish stocking policies accordingly.
- Cycle Counting: Organize and perform regular cycle counts to validate inventory accuracy.
- Obsolete Inventory: Identify and manage obsolete or slow-moving inventory to minimize losses.
- Overseas Travel Management:
- Arrange travel accommodations and itineraries for employees as needed.
- Coordinate logistics for meetings, conferences, and events.
- ) Compliance and Record-Keeping and Documentation:
- Maintain accurate and organized records related to employee data, contracts, and company documents.
- Assist in creating and maintaining various reports and presentations.
- ) Other Duties:
- Perform other HR and administrative tasks as assigned by the HR Manager or Administrative Supervisor.
- Flexibility to take on additional responsibilities as needed to support the organization's goals.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field (Master's degree preferred).
- Proven experience in human resources and administration roles, with a minimum of 3 years of relevant work experience.
- Strong understanding of HR practices, employment laws, and compliance requirements.
- Excellent organizational skills and attention to detail.
- Exceptional communication and interpersonal abilities.
- Proficiency in HR software, MS Office Suite, and other relevant tools.
- Ability to handle confidential information with discretion.
- Problem-solving mindset and a proactive approach to challenges.
- Strong multitasking skills and ability to prioritize tasks effectively.
