Job Summary:

The Executive Assistant will provide high-level administrative support to the CEO. The Executive Assistant reports directly to the CEO and provides executive support in a one-on-one working relationship; organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

Key Responsibilities:

  • Report directly and provide support to the CEO, including daily administrative tasks, decision execution, managing schedules, coordinating meetings, and handling all necessary correspondence.
  • Handle projects and tasks assigned by the CEO and update the progress and completion.
  • Maintain clear and professional communication with internal teams, clients, and partners.
  • Coordinate cross-departmentally to ensure timely completion of tasks and facilitate cross-departmental synergy.
  • Assist the CEO in monitoring and evaluating various business departments' operational performance and providing improvement suggestions to optimize business processes and outcomes.
  • Attend meetings alongside the CEO, take detailed minutes, and follow up on action items and deliverables.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by the CEO.
  • Draft and prepare correspondence for internal announcements, and organizations the executive is involved with.

Requirements:

  • Bachelor's degree in business administration, management, or a related field (preferred)
  • At least five years of work experience supporting C-level Executives or Senior Director, experience in Banking/Financial Services (e.g., asset management, family office, variable capital company) will be an additional advantage.
  • Bilingual in English and Mandarin because you must communicate with Chinese-speaking colleagues and clients.
  • Excellent communication and collaboration skills.
  • Strong logical thinking ability, analytical, and problem-solving skills. Possess business or commercial sense, able to analyze business issues and propose effective solutions.
  • Strong stress management skills, able to remain calm in high-pressure environments and multi-task efficiently. Able to react promptly and take appropriate actions in urgent situations.
  • Ability to work independently with minimal supervision.
  • A proactive and positive attitude with the ability to adapt to changing priorities and deadlines.
