About the Role:

We are looking for an HR Operations Specialist who takes real ownership of their work. You are someone who doesn't need to be micromanaged, gets things done on time, and genuinely cares about doing things right -whether it's making sure payroll is accurate to the cent or helping a new joiner feel welcomed on day one.

This is a hands-on role covering the full spectrum of HR operations. You will be the go-to person for employees and managers across the company, which means you will need to be approachable, reliable, and clear in how you communicate, whether you are speaking to a warehouse team member or a senior manager.

What You'll Be Doing:

Payroll & HR Administration
  • Process monthly payroll end-to-end, including CPF contributions, statutory deductions, proration, and variable components - with accuracy and on time, every time.
  • Administer leave, claims, and benefits in line with the Employment Act.
  • Maintain clean, accurate, and up-to-date employee records in the HR system.
Work Pass Management
  • Handle applications, renewals, cancellations, and appeals for work passes through MOM's portals.
  • Track expiry dates and manage renewals proactively so nothing slips through the cracks.
  • Keep up with MOM policy updates and flag any changes that affect the business.
Employee Lifecycle
  • Coordinate onboarding and offboarding processes - paperwork, system access, orientation, and exit clearance.
  • Be the first point of contact for employees and managers on day-to-day HR queries - policies, leave, claims, documentation.
  • Support the performance review cycle and other recurring HR processes.
Reporting & Process Improvement
  • Prepare regular HR reports - headcount, leave utilisation, payroll summaries.
  • Spot inefficiencies in current HR processes and take the lead on making improvements, even when no one has asked you to.
  • Support any ad hoc HR projects or initiatives as the business grows.
What We're Looking For
  • 2–3 years of HR operations or HR generalist experience, ideally in retail, F&B, or a similar fast-paced local SME.
  • Hands-on experience with end-to-end payroll processing in Singapore - you understand CPF rules, proration, and how to reconcile, not just click submit.
  • Working knowledge of MOM's work pass framework and Singapore's Employment Act - you know where to look when in doubt
  • Comfortable with data and reporting - you can build a clean summary table and spot an error before it becomes a problem.
  • Self-starter who manages their own workload without needing reminders or hand-holding.
  • A good communicator who can connect easily with people at all levels - from frontline staff to management.
  • Organised, detail-oriented, and follows through on what they say they will do.
  • Experienced with HRIS systems and Google Workspace.
  • Proficiency in Excel or Google Sheets is a must.
  • Fluent in both English and Mandarin (spoken and written) - the ability to communicate in Mandarin is essential to effectively support and liaise with our Mandarin-speaking employees and stakeholders across the business.

Good to Have:

  • Experience in improving or documenting HR processes.
  • Exposure to the Singaporean SME or retail operations environment.
