Secretary to Senior Executive

About the Role:
We are seeking a highly organized and proactive Secretary to provide dedicated administrative and executive support to the Senior Executive. The ideal candidate will ensure smooth day-to-day operations, maintain confidentiality, and facilitate effective communication across all levels of the organization.
Key Responsibilities:
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Manage calendars, schedules, travel arrangements, and appointments for the Executive Management.
- Handle emails, letters, packages, phone calls, and other correspondence professionally and promptly.
- Prepare, edit, and format reports, proposals, presentations, and other documents.
- Maintain and update databases, records, and filing systems (financial, personnel, and administrative).
- Monitor office supplies inventory and place orders when necessary.
- Organize meetings, take minutes, and follow up on action items.
- Act as a liaison between the Executive Management and internal/external stakeholders.
- Ensure confidentiality of sensitive information and documents.
Requirements:
- Proven experience as an Office Administrator, Office Assistant, Secretary, or in a similar role.
- At least 10 years of relevant administrative experience preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities with attention to detail.
- Familiarity with office management systems and procedures.
- Proficient in Microsoft Office applications, especially PowerPoint and Excel.
- Ability to multitask, prioritize workload, and work under pressure.
- High level of integrity, discretion, and professionalism.
Preferred Attributes:
- Experience supporting senior executives or C-suite leaders.
- Strong problem-solving skills and ability to work independently.
- Professional demeanor and positive attitude.
