Executive Assistant – 1 year Contract - Midori

Our client is a globally recognized pharmaceutical company with a strong international presence is looking to hire an experienced Executive Assistant – 1 year Contract

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our senior level executives. This role will focus on managing complex travel itineraries, arranging meals, handling visa support, and overseeing expenses.

The ideal candidate will be detail-oriented, adaptable, and skilled in managing multiple priorities with professionalism and discretion.

Key Responsibilities:

Travel Management:

  • Coordinate and manage complex travel arrangements (flights, accommodations, transportation) for senior level executives

Expense Management:

  • Oversee and track the executives' expenses, including processing travel reimbursements and ensuring that all receipts and documentation are properly filed and submitted.

Calendar and Schedule Management:

  • Proactively manage the executives’ calendars by scheduling meetings, appointments, and conference calls.
  • Prioritize and arrange appointments based on urgency, importance, and availability of executives.

General Administrative Support:

  • Handle confidential and sensitive information with discretion.
  • Support additional administrative tasks as needed to ensure the smooth operation of the office.
  • Coordinate and Organize company events

Qualifications:

  • 5+ years of experience in an executive assistant or administrative support role, ideally supporting senior-level management or C-suite executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.

Desired Skills:

  • Experience with expense management software (e.g., Concur).
  • Experience with town hall meetings
  • Strong problem-solving abilities and adaptability.
  • Having prior experience in the healthcare or pharmaceutical industry provides a significant advantage
