Job Summary: We're looking for a diligent and organized Part-Time Program Coordinator cum Admin to support the smooth running of our daily training activities. This role is perfect for someone who is reliable, detail-oriented, and can efficiently manage administrative tasks
The Part-time Program Coordinator is a pivotal role responsible for overseeing and guiding program coordination efforts while actively contributing to the successful planning, execution, and monitoring of our programs . This position requires a highly organized, detail-oriented, and proactive individual with demonstrated leadership capabilities who can effectively manage multiple tasks, mentor junior coordinators, communicate with various stakeholders, and ensure program objectives are met efficiently within a part-time capacity.The Program Coordinator will support the teams and Teacher, handle administrative duties, and play a key role in the overall success and growth of our initiatives.
Key Responsibilities :
- Training Program Support:
- Coordinate the day-to-day operational aspects of programs, ensuring all activities run smoothly and efficiently.
- Proactively manage teacher and instructor arrangements, including scheduling, resource allocation, and clear communication of assignments.
- Take immediate action to find and arrange backup teachers or alternative solutions in case of unforeseen absences or scheduling conflicts, minimizing disruption to programs.
- Ensure strict adherence to established operational protocols, policies, and quality standards.
- Identify and implement process improvements to enhance operational efficiency and program delivery.
- Administrative Assistance:
- Perform data entry for participant registrations and attendance records.
- Assist with filing and maintaining accurate physical and digital records.
- Handle general office upkeep to maintain a professional environment.
- Coordination:
- Liaise with trainers regarding daily logistical needs.
- Serve as a point of contact for key program participants, strategic partners, and internal leadership teams.
- Facilitate effective and clear communication channels, ensuring all stakeholders are consistently informed of program updates, changes, and critical information.
- Prepare and disseminate professional program-related communications, comprehensive newsletters, and impactful promotional materials.
Qualifications & Skills:
- Experience: Previous administrative or office support experience is a plus.
- Organization: Excellent organizational skills and a keen eye for detail.
- Reliability: Punctual, dependable, and able to commit to a consistent daily schedule.
- Initiative: Proactive in completing tasks and identifying small improvements.
- Communication: Basic communication skills to interact with trainers and team members.
- Tech Proficiency: Comfortable using Microsoft Office Suite (Word, Excel).
- Work Ethic: A strong desire to complete tasks efficiently and accurately..
Weekday - 5/6PM - 8/9PM ( 2 to 3 hours ) , Weekends - 9/10am to 5/6pm ( 6 to 8 hours ) .To be discussed on the working schedule.
