Position Summary
The Logistics Manager is responsible for overseeing the end-to-end supply chain and logistics operations for international procurement, warehousing, inventory management, import/export compliance, and shipment execution.
The Logistics Manager will maintain shipment schedules, inventory forecasts, procurement timelines, payment milestones, and cost calculations to ensure uninterrupted business operations.
This position serves as the central coordination point between suppliers, freight forwarders, warehouses, customs agents, finance teams, sales teams, distributors, and regulatory authorities.
Key Result Areas (KRAs)
Supply Chain Execution- Achieve on-time shipment execution according to approved forecasts and customer requirements.
- Ensure all shipments are delivered without avoidable delays caused by documentation, payment, inventory, or compliance issues.
- Optimize freight, warehousing, and logistics costs while maintaining service levels.
- Improve shipment planning and inventory efficiency to minimize unnecessary costs.
- Maintain 100% compliance with import/export regulations, customs requirements, and bonded warehouse procedures.
- Ensure complete and accurate logistics documentation for every shipment.
- Maintain accurate inventory records and shipment schedules.
- Support demand planning and inventory replenishment activities.
- Provide clear, timely, and professional communication to all internal and external stakeholders.
- Deliver high levels of customer service to suppliers, distributors, and internal departments.
- Logistics & Supply Chain Management
- Plan, coordinate, and execute international shipments with suppliers, shipping lines, freight forwarders, customs agents, and warehouse operators.
- Monitor shipment progress from purchase order placement through final delivery.
- Ensure all shipping documentation is complete and available before vessel arrival, including:
- Import licenses
- Product registrations
- Commercial invoices
- Packing lists
- Bills of Lading
- Certificates of Origin
- Customs declarations
- Verify that all products comply with destination country regulations before shipment dispatch.
- Ensure product specifications, HS codes, ABV declarations, labeling requirements, product registrations, and supporting documentation meet regulatory requirements.
- Coordinate with customers and distributors to facilitate product registration and import licensing processes.
- Manage bonded warehouse operations and ensure compliance with Singapore Customs regulations.
- Conduct quarterly freight benchmarking exercises by obtaining quotations from multiple logistics providers.
- Recommend cost-effective shipping routes and Incoterms for management approval.
- Procurement & Order Administration
- Issue and maintain procurement and sales documentation, including:
- Purchase Orders
- Proforma Invoices
- Commercial Invoices
- Credit Notes
- Debit Notes
- Coordinate order processing between suppliers and distributors.
- Monitor order fulfillment status and escalate potential delays.
- Support supplier relationship management and logistics coordination.
- Ensure all procurement records are properly maintained and auditable.
- Inventory Management & Demand Planning
- Maintain accurate inventory records within the ERP system.
- Ensure all stock movements are recorded promptly and accurately.
- Manage inventory control reports and reconciliation processes.
- Monitor stock levels and recommend replenishment actions.
- Implement FIFO inventory management principles where applicable.
- Monitor product shelf life and expiry dates to minimize stock write-offs.
- Collaborate with sales and management teams to continuously update forecasts.
- Maintain rolling shipment schedules and inventory projections.
- Calculate order placement timelines by considering:
- Supplier lead times
- Production lead times
- Transit times
- Customs clearance requirements
- Customer delivery deadlines
- Monitor shipment status and update tracking systems accordingly.
- Financial Coordination & Credit Control
- Support the Finance Department in monitoring logistics-related payments.
- Track supplier payment schedules and ensure payments are processed before shipment deadlines.
- Monitor customer credit limits and credit terms.
- Coordinate with Finance to ensure receivables are collected according to agreed terms.
- Prevent order processing for customers exceeding approved credit limits unless authorized.
- Track and update payment due dates, credit expiry dates, and shipment-related financial commitments.
- Costing & Commercial Support
- Calculate landed costs for imported products, including:
- Freight
- Customs duties
- Port charges
- THC charges
- Inland transportation
- Bank charges
- Warehouse costs
- Other logistics expenses
- Maintain accurate product cost sheets.
- Support management in preparing quotations and pricing proposals.
- Provide timely updates on logistics cost fluctuations that may impact margins.
- Identify opportunities to improve logistics efficiency and reduce supply chain costs.
- Documentation & Compliance Management
- Ensure all logistics, customs, warehouse, procurement, and regulatory documents are properly archived.
- Maintain shipment records for audit and compliance purposes.
- Support internal and external audits related to logistics and inventory operations.
- Ensure compliance with company policies and applicable regulatory requirements.
Qualifications & Experience
Education- Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, International Trade, or related field.
- Minimum 5 years of experience in logistics, supply chain, freight forwarding, import/export, or international trade.
- Experience managing international shipments and customs documentation.
- Experience working with bonded warehouses.
- Experience using ERP systems (SAP, Sage, Oracle, Microsoft Dynamics, or equivalent).
