Associate/AVP - IT and Office Administration - Bukit Merah
Our client is a leading Private Equity Fund Manager with an enviable track record of success and growth across Asia Pacific. As part of their expansion efforts, they are now seeking a proactive and skilled Associate/AVP to oversee IT and office administration functions in their Singapore office.
This role will play a crucial role in managing and optimizing our client’s office IT infrastructure. This includes implementing technology solutions to increase productivity, ensuring cybersecurity, and utilizing Microsoft products effectively.
The ideal candidate will have a strong understanding of office IT systems and a passion for driving technological advancements. As a secondary function, this new hire shall support the VP of Office Administration in ensuring the smooth running of the office.
The duties of Associate/ Assistant Vice President, IT & Office Administration shall include (but is not limited to) the following:
Responsibilities:
A. Information Technology- IT Management: Responsible for managing the outsourced IT vendor’s activities including, performance, support responsiveness and standard operating procedures, hardware and software procurement. Oversee the day-to-day IT operations, including hardware and software management, network administration, and troubleshooting.
- Technology Implementation: Identify and implement technology solutions together with IT vendor to enhance office productivity, with a focus on Microsoft products such as Office 365, Teams, and SharePoint.
- Cybersecurity: Ensure the security of office IT systems by implementing and maintaining cybersecurity measures with the outsourced vendors.
- Support and Training: Conduct sharing sessions to improve their proficiency with Microsoft products and other office technologies.
- Vendor Management: Liaise with IT vendors and service providers to ensure timely and cost-effective procurement and maintenance of IT equipment and services. Manage the performance of services provided by IT vendor as agreed in the contract and ensure that the service levels are achieved.
- Documentation: Maintain accurate records of IT assets, configurations, and procedures.
- Compliance: Ensure compliance with relevant IT policies, standards, and regulations. Oversee and administer procedures on data back-up and offsite retention.
- Assist VP, Office Administration in the smooth running of the office.
- Maintain and monitor performance of vendor partners and service providers to ensure incorporation of best practices in the firm.
- Oversee procedures on record retention and transfer/disposal of records
Qualifications:
- IT qualifications with 6 - 10 years of relevant working experience.
- Proven experience in managing IT functions in an office environment.
- Strong knowledge of Microsoft products and their applications in a business setting.
- Basic understanding of office IT infrastructure, including networks, servers, and cybersecurity.
- Excellent problem-solving skills and the ability to troubleshoot technical issues.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
