Job Description
The Executive Assistant to the Head of School plays a pivotal role in the organisation of the School and assists the Head of School in the day-to-day work to ensure the smooth running of the office. This person is responsible for providing high-level confidential administrative, organisational and secretarial support and is expected to work autonomously to represent the Head of School and the School to internal and external stakeholders.
Overall Responsibilities- Managing day-to-day operations of the Principal of School.
- Assist the Principal of School with Edutrust, CPE Audits.
- Scheduling meetings, calendar and other appointments of the Principal of School.
- Handle sensitive information in a confidential manner.
- Organizing & maintaining files & records.
- Co-ordination of staff events.
- Maintain daily electronic documents on google shared drive.
- Preparing & formatting information for internal & external distribution.
- Record minutes of meetings.
- Act as the primary contact between Principal of School and parents.
- Collate and check staff claims/reimbursements for Principal of School's approval.
- Organise Head of School claims for reimbursement.
- Supervise the front office staff activities such as covering the receptionist duties if needed.
- Diploma or Degree in related field.
- Minimum 2 years of relevant experience
- International Schools working experience preferred
- Preferred to have Edutrust, CPE Knowledge
- Good command of English and Mandarin
- Able to work independently with minimum supervision
