Responsibilities:

  • Manage and maintain accurate student records and handle administrative processes in the relevant student management portal, student orientation, university matriculation, certification letters, visa applications, tuition fee matters, medical insurance, and preparation of graduation documents and organising industry visits
  • Coordinate and support the scheduling of timetables for Master/Postgraduate programmes by liaising with faculty and partner universities, as well as booking of teaching venues (lecture theatres/labs) and accommodation for visiting faculty.
  • Liaise with lecturers to prepare lecture and examination materials, teaching contracts, and ensure timely submission of lecture claims to the Finance department.
  • Assist in the planning and administration of examinations, including coordinating exam papers and instructions with faculty, printing of examination materials, preparing seating plans, scanning answer scripts, and supporting exam invigilation.
  • Update and release examination results and coordinate arrangements for answer script viewing where required. Monitoring of results (student performance) to track the student progress and arrange meeting when required,
  • Provide administrative support for students’ internship or thesis placements with local or overseas institutions and companies. Plan and arrange for briefing session by coordinating with the faculty
  • Support the organisation of academic-related events such as student orientation, graduation ceremonies, career opportunity days, alumni events, and other activities related to the Student Affairs Office.
  • Lead in processing the scholarship, verification of applications, update the academic details and notify the awardees
  • Provide frontline support to students, including responding to academic and administrative enquiries and offering guidance when necessary.
  • Maintain and update student data and records for reporting and submission to the partner university, ensuring accuracy and timeliness.
  • Work closely with the Manager, faculty members, and internal teams to ensure academic processes, policies, and teaching-related matters are carried out effectively.
  • Support collaboration with partner universities and external stakeholders to facilitate smooth academic operations.
  • Assist in administrative preparations related to academic reviews, programme documentation, and institutional requirements where necessary.
  • Participate in local or overseas outreach or marketing activities such as education fairs or roadshows when required.
  • Perform other administrative and operational duties as assigned by the Manager.

Requirements:

  • Candidate must possess at least a Diploma or Degree in any field.
  • Minimum 4 to 6 years of relevant working experience, preferably in the education or academic administration sector.
  • Experience in coordinating with academic staff, students, and external stakeholders such as partner universities or institutions will be an advantage.
  • Possess strong communication, interpersonal, and organisational skills with a positive working attitude and ability to work well in a team environment.
  • Demonstrated ability to manage multiple tasks, prioritise responsibilities, and meet deadlines in a fast-paced environment.
  • Good problem-solving skills and ability to handle student-related matters with professionalism and sensitivity.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and comfortable with administrative systems and documentation.
  • Meticulous, organised, and able to work independently with minimal supervision.
  • Possess a service-oriented mindset with a pleasant and approachable personality.
  • Willing to work on weekends when required (kept to a minimum).
