Sales Admin / Administrative Assistant

Job Responsibilities
  • Provide comprehensive administrative support to the sales team, including managing calendars, scheduling appointments, coordinating meetings, and preparing correspondence.
  • Handle customer inquiries via phone and email, ensuring timely, accurate, and professional responses while escalating issues when necessary.
  • Assist in the preparation of sales proposals, presentations, reports, quotations, and other sales-related documentation.
  • Process sales orders, generate invoices, track shipments, and coordinate with logistics to ensure timely delivery of products and services.
  • Maintain and update customer records, sales databases, and administrative documentation with accuracy and confidentiality.
  • Support lead generation activities and follow-up communications with customers and prospective clients.
  • Coordinate with vendors and suppliers for other operational requirements.
  • Manage office administrative duties, including filing, data entry, document management, and handling incoming and outgoing correspondence.
  • Assist with basic bookkeeping tasks such as processing invoices and payment documentation.
  • Collaborate effectively with internal departments to ensure smooth operational flow and efficient communication.
  • Communicate professionally in both English and Mandarin to liaise with internal teams, suppliers, and clients.
  • Demonstrate strong organizational skills, attention to detail, multitasking ability, and a proactive approach in a fast-paced working environment.
Requirements

  • Diploma or equivalent qualification in Business Administration, Sales, or a related field.
  • Prior experience in sales administration, customer service, or office administration will be an added advantage.
  • Proficient in Microsoft Office applications such as Word, Excel, and PowerPoint.
  • Good communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Positive attitude, willingness to learn, and strong sense of responsibility.
  • Fluent in English and Mandarin (spoken and written) to support communication with Mandarin-speaking clients and stakeholders.
