We have a vacancy for a full-time Executive Assistant (HBA Residential) in our busy and growing Architecture and Interior Design office. We’re on the hunt for a cheerful, efficient, outgoing and professional individual with excellent language skills and an excellent phone manner.

You will need to be computer literate, polite, supportive and self-motivated.

The ideal candidate should be well organised, have great time management skills, be enthusiastic and well presented, with a keen eye for detail, ability to multi-task and be able to act without guidance. A flexible and helpful nature is essential in providing personalised and timely support to our leadership team.

Key Duties:

  • Administrative and secretarial support to the global principal and senior management team
  • Proactively manage the diary and schedule appointments with the global principal
  • Managing monthly billing and tracking monthly outgoing invoices and payments.
  • Processing and tracking of intercompany and external consultants' invoices.
  • Dealing with communications and acting as the point of contact among management, team members, clients and other external partners
  • Organisation and management of international business travel and visas
  • Assisting the in-house and external marketing and public relations teams including the procurement of marketing material: printing and other collateral etc.
  • Support NBD in general administration, reporting input/generation and RFP preparation
  • Assistance in organising and maintaining the office filing system, library and databases
  • Assist in day-to-day functioning of a progressive and well-presented studio
  • Provide ad-hoc translation assistance and support for our Chinese clients/projects/initiatives

Key Skills:

  • Proficiency in Microsoft Office Suite. Working Knowledge of Adobe Indesign would be advantageous
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Excellent organisational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • An interest in interior design

Required Experience:

  • Work experience as an executive assistant, secretary or similar administrative role: minimum three year’s experience
  • Prior experience in a creative environment would be an advantage
