Job Description
Our Admin Executive provides various administrative and operational support to company We are seeking a proactive and organized Admin Executive to provide comprehensive administrative and operational support to our team. This position reports directly to the Finance and Admin Department.The role is a permanent position, offering long-term career growth opportunities within the company
Key Responsibilities:
- Provide administrative support to the management and project team.
- Answer, screen, and transfer phone calls as necessary.
- Greet and direct visitors and clients, ensuring they have an appointment before escorting them to the meeting room. Prepare refreshments for guests when required.
- Maintain and organize filing systems, ensuring all records are up to date and easily accessible.
- Retrieves requested information from records, email, minutes, and other related; documents, prepares written summaries as needed.
- Adress and resolves any administrative inquiries or questions efficiently.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and manage scheduling for meetings, ensuring all necessary details are provided
- Oversee the maintenance of office supplies and ensure office equipment is in working order. Ensure all purchases are approved by Admin and Finance Department.
- Assist with travel arrangements, including insurance, hotel and flight bookings for staff and visitors, subject to Finance approval.
- Manage the Managing Director’s calendar, travel arrangements and correspondence. Arrange transportation for Managing Director.
- Serve as the main point of contact for employee's inquiries, ensuring prompt and accurate responses.
- Assisting Business Development Team to organise and coordinate company events.
- Perform other ad-hoc tasks as assigned by management.

- A proactive, positive, and highly organized individual with the ability to work independently and collaboratively within a team.
- Strong written and verbal communication skills in English
- Proficiency in MS Office (Excel, Word, PowerPoint) is required
- Strong multitasking and prioritization skills.
- A keen attention to detail and excellent problem-solving abilities.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
