Document Controller - Woodlands
ob Description:
The Document Controller is responsible for managing, organizing, and maintaining all technical documents and project records in accordance with company policies and industry standards. This role ensures that accurate and up-to-date documents are distributed across departments, clients, and subcontractors.
Key Responsibilities:
Receive, review, log, and distribute engineering documents, technical drawings, and project specifications.
Maintain a comprehensive document control system (physical and digital).
Ensure all documentation meets regulatory and company standards.
Control the issue and revision of controlled documents, including RFIs, method statements, material submittals, and shop drawings.
Track document versions and ensure obsolete documents are properly archived.
Prepare document transmittals and track submissions and approvals.
Support the project team in documentation formatting and compliance.
Coordinate with engineers, site supervisors, and subcontractors to ensure timely document flow.
Ensure confidentiality and security of project documentation.
Conduct regular audits and quality checks on documentation systems.
Job Requirements:
Education & Experience:
Diploma or Degree in Business Administration, Engineering, or relevant field.
Minimum 2–3 years of experience in document control, preferably in a mechanical or construction environment.
Familiarity with project documentation in mechanical systems such as HVAC, plumbing, piping, or fire protection is an advantage.
Skills & Competencies:
Proficient in Microsoft Office (Word, Excel, Outlook).
Experience with Document Management Systems (DMS) such as Aconex, Procore, or SharePoint is preferred.
Knowledge of ISO 9001 document control procedures.
Strong attention to detail and organizational skills.
Ability to prioritize and manage multiple tasks efficiently.
Excellent communication skills – both verbal and written.
Familiarity with technical terminology and engineering documentation.
